The following information will help you to familiarize yourself with the catering ordering process.

Planning Your Event & Menu
Our catering menus includes fresh, contemporary offerings that represent a starting point; our commitment is to envision, customize and deliver a distinct experience for you and your guests. The CaterTrax website is an amenity perfect for placing orders for standard events. We recommend consulting with our catering coordinators to plan complex events or any event with complex logistics or timelines. To allow for proper planning, please contact us as soon as you have a tentative date so we can begin making preliminary plans for your event.

CaterTrax… Convenience Starts Here!
Menus for all tiers of service are featured within our CaterTrax website to include seasonal offers. The website features menus, nutritional information and order minimums; pricing reflected within the website is based on meeting the order minimums. Should you have special needs or your event falls below the listed minimum, please contact our catering coordinator for a custom menu and/or pricing. Feel free to browse our menu offerings within the CaterTrax site or contact our catering coordinators for an emailed pdf version of our menu. Standard orders should be input within the CaterTrax portal to deliver the most expeditious confirmation. The website will guide you through all needed information to provide you a successful event. ‘Special Instructions’ provide you the ability to provide more detailed information regarding your event needs. Additionally, your CaterTrax account portal provides you the ability to search event history, repeat events, and prepare budgets.

Our offices are open Monday through Friday from 8:00 am to 5:00 pm. We are also available to meet with you in person or plan an event site visit; contact our catering coordinator for consultation scheduling.

Dietary Restrictions
Our menu features offerings to meet a wide range of dietary needs including Sodexo’s award winning Mindful menus. Mindful delivers satisfying portions that are not only delicious, but also meet a wide array of specific nutrition guidelines that control the level of calories, fat, saturated and trans fats, cholesterol and sodium, while maximizing the amount of fiber and other essential nutrients.
Please advise the catering coordinator of all dietary restrictions that require accommodation. Note: WCL is not an allergen free facility; guests with severe allergies should be alerted so they can self-cater to accommodate their individual needs. Every effort will be made to accommodate all dietary issues while maintaining seamless service.

Order Confirmations, Guest Counts, Revisions and Cancellations
CaterTrax orders are submitted in confirmation pending status and is pending until a confirmation is confirmed by the catering coordinator. Event confirmations require payment information and are received by the next business day via email. The CaterTrax confirmation email provides you a link to the event menu and logistics information as well as a portal should you require a revision request. Final event details and revisions are requested three (3) business days prior to your event.
Your event is reserved with an attendance estimate. Guaranteed guest counts and event changes are provided three (3) business days prior to the event. If no guarantee is provided, you will be charged for the last customer count received or the guest count at the event, whichever is greater.
Last minute event needs are inevitable, and we make every effort to accommodate your requests. Menus and list pricing are based on meeting our planning deadlines. Your final event confirmation will include requested revisions and pricing may be updated to accommodate your needs.
Cancellations are confirmed three business days prior to the event date. All cancellations made with less than three business days’ notice may incur charges. If the University closes or delays due to inclement weather, all impacted catering events are automatically cancelled.

Delivery and Event Pick-Up
Standard deliveries and pickups are made at your convenience. Please allow at least 30 minutes before and after your guest arrival and departure for delivery and pick up. Please arrange for building and room availability for deliveries and pickups to include access to special access locations. Our catering coordinator is happy to discuss timeline planning for room reservations.

Event Amenities
We can offer guidance in many specialty areas to enhance the guest experience at your event - florals, specialty rental items, décor and event production.

Serviceware: Eco-friendly serviceware is provided as a standard for all our events.  China is available; your event confirmation will outline china serviceware rental rates.
Specialty china, silver and glassware are available for rental and can be discussed during your event consultation.

Linen: Our signature service includes complimentary linens for all food service tables. Complimentary house linens accompany all plated breakfasts, lunches and dinners. Additional house linens for guest tables can be rented when accompanying a catered meal package; the catering confirmation will outline linen needs and associated charges. We are happy to accommodate your décor theme; please discuss linen colors when booking your event. Specialty linens and fabric swatches can be provided from our catering sales specialists; linen rental fees apply.

Service Staff: Service staff is provided for all event deliveries and pickups. Your event confirmation will outline service staff required for attended receptions, buffets and served meals and are provided for your event based on our standard service levels. Additional service staff is available and should be discussed with the catering coordinator during your event consultation.For full service events or events that include alcohol service, staffing is billed as follows with a four (4) hour minimum each:

Wait Staff - $156 for four hours - $39 each additional hour per Waiter
Bartender - $156 for four hours - $39 each additional hour per Bartender
Chef - $180 for four hours - $45 each additional hour per Chef

Catering Equipment: We offer a full range of catering equipment to provide a professional image while serving your event. A quote for rental equipment can be provided for any service items not available through our department. All event equipment must be picked up at the conclusion of your event. Replacement fees will be applied for any damaged or missing equipment upon event pick up.

Floral and Décor Services: We are happy to recommend services by our local vendor partnerships or provide you with a quote based on your décor preferences.

Pricing and Payment
Prices are subject to change based on meeting guest minimums and product availability. Prices reflect services available during normal business days in accordance with the university calendar. Please contact the catering office for pricing for events held on College holidays and breaks.
An approved account number or other approved payment is required to confirm delivery of your event. We accept credit cards, cash, and checks. An approved College account number or a 50% deposit is due one week prior to your event. The remainder of your bill plus any adjustment is due at the close of your event; events are billed weekly net 30 days. Sales tax will be applied for all nonexempt groups. A tax-exempt certificate must be supplied to the catering office one week prior to your event date.
